Privacy Policy

This Privacy Policy explains how Qmodi Inc. (“Qmodi,” “PreTrip,” “we,” “us,” or “our”) collects, uses, discloses, and safeguards personal information when you use the PreTrip website at pretrip.net, the PreTrip admin dashboard at admin.pretrip.net, and the PreTrip mobile application for Android and iOS (collectively, the “Services”).

PreTrip is a platform for commercial motor vehicle drivers and their employing motor carriers to perform, record, and document pre-trip inspections. By using the Services, you agree to the practices described in this Policy.

1. Who we are

The data controller is Qmodi Inc., a Nevada corporation located at 321 W Winnie Ln Ste 104, Carson City, NV 89703, United States. For privacy inquiries, contact privacy@pretrip.net.

2. Information we collect

2.1 Information you provide

  • Account information. Your email address and, optionally, phone number, used to authenticate you via one-time passcode (OTP). We do not store passwords.
  • Driver profile. Display name, commercial driver’s license (CDL) number, CDL state of issue, CDL expiration date, and profile photo (if you upload one).
  • Fleet and vehicle information. Motor carrier (USDOT/MC) information, vehicle identification numbers (VIN), license plates, and vehicle configuration data you enter or scan.
  • Inspection content. Video and audio you record during a pre-trip inspection, checklist responses, free-text notes, and still images of the vehicle or documents you photograph.

2.2 Information collected automatically from the mobile app

The PreTrip mobile app requests the following device permissions, each used only for the purposes described:

  • Camera. Used to record pre-trip inspection video, scan VIN barcodes, and capture vehicle and document photos. Video is streamed to our ingest servers while you record and stored as an inspection recording tied to your account. We do not access the camera outside of active inspection recording, VIN scanning, or photo capture flows initiated by you.
  • Microphone. Used to record the audio track that accompanies inspection video and to power the optional voice-checklist feature, which transcribes what you say during an inspection so the app can mark checklist items hands-free. Audio is transmitted to our speech-to-text subprocessor (see Section 4) while the feature is active.
  • Precise and approximate location. Used to attach GPS coordinates to inspection recordings, record a breadcrumb trail during an inspection session so the location of each checklist event can be verified, and associate inspections with fleet yards or sites. We collect location only while an inspection is actively recording in the foreground; we do not collect background location.
  • Push notifications. If you allow notifications, we collect a Firebase Cloud Messaging (FCM) or Apple Push Notification service (APNs) token so we can alert you to inspection-related events (e.g., a manager flagging a recording for review).
  • Device and app information. Device model, manufacturer, operating system and version, app version, and a device identifier (Android ID on Android, identifierForVendor on iOS) used to distinguish registered devices on your account and to route push notifications.

2.3 Information collected automatically from the website

  • Log data. IP address, user-agent, pages requested, and timestamps, generated by our hosting provider for security, abuse prevention, and service reliability.
  • Authentication session cookies. Strictly necessary cookies used to keep you signed in. We do not use advertising or cross-site tracking cookies.

3. How we use information

We use the information described above to:

  • Authenticate you and operate your account.
  • Record, store, play back, and time-stamp pre-trip inspections you initiate.
  • Display inspection records to you and, where applicable, to the motor carrier that employs you.
  • Generate AI-assisted scoring and summaries of inspections you submit, to help carriers review compliance.
  • Send you account, inspection, and safety-related notifications.
  • Secure the Services, detect abuse or fraud, and troubleshoot errors.
  • Comply with legal obligations, including records-retention requirements applicable to motor carriers.

We do not use your inspection recordings, audio, location, or contact information for advertising, and we do not sell personal information.

4. Service providers and sharing

We share personal information only with vendors who process it on our behalf under contract, and only as needed to operate the Services:

  • Supabase (Supabase, Inc.) — managed Postgres database, authentication (OTP delivery), file storage, and edge functions. Stores account profiles, inspection metadata, checklist responses, and uploaded images.
  • Google LLC (Firebase Cloud Messaging). Delivers push notifications to Android devices. Receives the FCM token and notification payload only.
  • Apple Inc. (Apple Push Notification service). Delivers push notifications to iOS devices. Receives the APNs token and notification payload only.
  • Deepgram, Inc. — speech-to-text transcription used by the voice-checklist feature. Receives audio streamed from your device only while the voice-checklist feature is active. Deepgram does not train models on your audio under our agreement.
  • Vercel Inc. — hosting for the PreTrip websites. Receives request metadata (IP, user-agent, URL) in its standard server logs.
  • RamNode LLC. — hosts our video ingest and transcoding server in Los Angeles, California. Receives inspection video and audio for real-time streaming and recording.

We also may share information (i) with the motor carrier that employs you, for inspections you submit on their behalf; (ii) with your explicit consent; (iii) to comply with a subpoena, court order, or other legal process; (iv) to protect the rights, property, or safety of Qmodi, our users, or others; and (v) in connection with a merger, acquisition, or sale of assets, subject to this Policy.

5. Data retention

  • Inspection recordings and metadata are retained for the longer of (a) the period required by applicable motor carrier recordkeeping rules (typically 3 months under 49 C.F.R. § 396.11 for Driver Vehicle Inspection Reports, and longer for other records your carrier must keep), (b) the period your motor carrier specifies in its contract with us, or (c) until you or your carrier requests deletion.
  • Account profile is retained while your account is active and for up to 12 months after closure, after which it is deleted or de-identified unless retention is required by law.
  • Push notification tokens are retained only while valid; stale tokens are removed automatically.
  • Server logs are retained for up to 90 days for security and diagnostic purposes.

6. Security

We use industry-standard safeguards including encryption in transit (TLS 1.2+), encryption at rest for database and object storage, row-level security policies that restrict each user to their own records, and role-based access controls for Qmodi personnel. No system is perfectly secure; you are responsible for keeping your login email and device secure.

7. Your choices

  • Permissions. You can revoke camera, microphone, location, or notification permissions at any time in your device settings. Revoking camera or microphone will prevent you from recording inspections.
  • Access and correction. You can view and edit your profile in the app, or email privacy@pretrip.net to request access to other personal information we hold about you.
  • Deletion. You may request deletion of your account and associated personal information by emailing privacy@pretrip.net or using the in-app “Delete my account” option in Settings. Note that inspection records your motor carrier is legally required to retain may be preserved in a restricted form until the retention period expires.
  • Marketing. We do not send marketing email. Transactional and safety notifications are essential to the Services and cannot be disabled while you maintain an account.

8. California residents (CCPA/CPRA)

If you are a California resident, you have the right to know the categories and specific pieces of personal information we collect about you, the right to delete personal information, the right to correct inaccurate information, the right to limit use of sensitive personal information, and the right not to be discriminated against for exercising these rights. PreTrip processes precise geolocation, which is “sensitive personal information” under California law; we use it only to provide the Services as described in Section 3 and do not use it to infer characteristics about you.

We do not sell personal information and do not share personal information for cross-context behavioral advertising. To exercise any right, email privacy@pretrip.net from the address on your account or submit an in-app request. We will verify your identity before fulfilling the request and will respond within 45 days. You may designate an authorized agent to act on your behalf by providing signed written permission.

9. Children

The Services are intended for commercial motor vehicle drivers, who must be at least 18 years old (21 for interstate driving) under federal law. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us personal information, contact us and we will delete it.

10. International users

The Services are operated from the United States and intended for users in the United States. If you access the Services from outside the United States, you understand that your information will be transferred to and processed in the United States.

11. Changes to this policy

We may update this Policy from time to time. We will post the updated version at this URL and update the “Effective date” above. Material changes will be announced in-app or by email. Continued use of the Services after an update constitutes acceptance of the revised Policy.
